This Privacy Policy & Community Data Notice (“Privacy Policy”) explains how we collect, use, store and disclose personal information when you access or use the GlobalReach Link platform, including community/social features (such as feeds, posts and comments), private collaboration spaces (Rooms/Boardrooms), messaging, and document/file sharing.

1. Scope and key terms

  1. 1.1 This Privacy Policy applies to all users of our websites, apps, portals and services (the “Platform”), including members, Project Owners/Buyers, Experts, Partners, Vendors/Service Providers and Organisers.
  2. 1.2 “Personal information” has the meaning in the Privacy Act 1988 (Cth) and includes information about an identified individual, or an individual who is reasonably identifiable.
  3. 1.3 This Privacy Policy should be read together with our Terms & Conditions. If there is a conflict, the Terms govern contractual matters, and this Privacy Policy governs personal information handling.
  4. 1.4 If you provide personal information about other people (e.g., colleagues, clients, partners), you must ensure you have authority and any required consents to do so.

2. What we collect

  1. 2.1 Account & profile information: name, email, phone, job title, company, location, languages, profile photo, biography, expertise tags, business links, verification-related details you submit.
  2. 2.2 Community/social content: posts, comments, reactions, mentions, media, and any information you choose to publish in the feed, groups or community spaces.
  3. 2.3 Room/Boardroom content: messages, notes, project discussions, meeting records, documents, files, images, links, term sheets, statements of work, milestone plans, payment schedules, and other materials shared within Rooms/Boardrooms.
  4. 2.4 Relationship & collaboration data: connections, follows, group memberships, Room participation, invitations, introductions, referrals, and interaction signals (e.g., who you connected with, what you viewed, what you saved).
  5. 2.5 Transaction & billing data: purchases, subscriptions, invoices, plan selections, and payment status. (Payment card details are generally handled by payment processors such as Stripe and are not stored by us unless explicitly stated.)
  6. 2.6 Technical & usage data: device information, log data, IP address, browser type, pages visited, clicks, timestamps, cookies and similar tracking technologies (subject to your browser and consent settings).
  7. 2.7 Verification data (where applicable): limited identity or business verification evidence you provide, and results/notes from checks (including best-efforts third-party sources where used).
  8. 2.8 Sensitive information: we do not intend to collect “sensitive information” (as defined by Australian privacy law) unless you choose to provide it. If you provide it, you consent to us handling it as described in this Privacy Policy.

3. Why we collect and how we use information

  1. 3.1 Provide and operate the Platform: create accounts, enable profiles, allow posting, messaging, Rooms/Boardrooms, file sharing, and deliver purchased features.
  2. 3.2 Facilitate introductions and collaboration: enable you to connect with other users and organisations, participate in Rooms/Boardrooms, and progress cross-border collaboration.
  3. 3.3 Matching, scoring and recommendations: analyse profile attributes, tags, activity signals, and collaboration data to suggest relevant experts, partners, projects, groups, and Rooms.
  4. 3.4 Tagging and knowledge organisation: create or suggest tags, categories and structured metadata based on content and activity to support search, discovery and relevance across the Platform.
  5. 3.5 Platform improvement and analytics: measure performance, detect bugs, maintain security, prevent fraud, and improve user experience and feature design.
  6. 3.6 Compliance and risk management: enforce our Terms, respond to legal requests, protect Platform safety, and manage disputes.
  7. 3.7 Communications: send service messages (e.g., verification status, Room invitations, policy updates), and where permitted, marketing or product updates (with opt-out options where required).

4. Community, Rooms and shared information (important)

  1. 4.1 Public vs private areas: Content you post in public areas (e.g., public feed or public groups) may be visible to other users and, where enabled, to visitors or search engines. Content in private groups or Rooms/Boardrooms is intended for a restricted audience as determined by the Platform’s settings.
  2. 4.2 You control what you share: You should not share information you do not have rights to disclose. Once shared with other users, those users may copy or re-share it outside the Platform. We cannot fully control that behaviour.
  3. 4.3 Commercial confidentiality expectation: Rooms/Boardrooms are designed for business collaboration and may involve confidential information. Our Terms include a default confidentiality standard for Room/Boardroom participants. This Privacy Policy explains how we handle personal information within that context.
  4. 4.4 Files and project documents: Documents and files shared in Rooms/Boardrooms may contain personal information (e.g., names, emails, signatures). We store and process these to provide the service, facilitate collaboration, and support search and organisation for authorised participants.
  5. 4.5 Relationship data: Your connections, introductions and collaboration history may be used to improve relevance (e.g., better matching), and to help you manage and recall professional relationships on the Platform.

5. Our rights to analyse data and build derived insights

We understand the Platform depends on data-driven relevance. To support matching, tagging and building a structured knowledge base, the following applies:

  1. 5.1 Licence to process: You grant us permission to process Content and personal information you provide (including Room/Boardroom content and uploaded files) to operate the Platform and provide features, including indexing, searching, categorising, translating display, and relevance ranking.
  2. 5.2 Derived data: We may create derived data such as tags, classifications, summaries, relevance scores, relationship graphs, analytics metrics, and risk/reliability indicators based on your activity and Content (“Derived Insights”).
  3. 5.3 Ownership and control of platform-derived assets: As between you and us, you retain your rights in your original Content, but we own or control the Platform’s databases, structures, taxonomies, models, scoring logic, and Derived Insights (to the extent permitted by law), particularly where they are aggregated, system-generated, or de-identified.
  4. 5.4 De-identified and aggregated information: We may de-identify and/or aggregate information so it no longer identifies you, and use it for analytics, product improvement, benchmarking, and building knowledge assets. We may share such de-identified/aggregated information with partners or the public (e.g., platform statistics) provided it does not reasonably identify individuals.
  5. 5.5 No sale of your private Room content as-is: We do not intend to sell identifiable private Room/Boardroom content “as-is” to third parties. Any sharing outside authorised participants will be limited to what is necessary to provide services, comply with law, or as otherwise described in this Privacy Policy.

6. When we disclose personal information

  1. 6.1 To other users, based on your settings and actions: your profile information, posts, comments, and Room/Boardroom content will be shared with other users according to visibility settings and who you choose to interact with.
  2. 6.2 To service providers: we use third-party providers for hosting, security, analytics, messaging, email delivery, translation display, file storage, and payment processing (e.g., Stripe). They process information on our instructions to provide services to us.
  3. 6.3 For verification checks (where applicable): we may disclose limited information to verification providers or data sources to conduct checks you request or we reasonably require for verification.
  4. 6.4 For legal and safety reasons: where required by law, court order, or to protect rights, safety, and Platform integrity (including investigating fraud, abuse, or Terms breaches).
  5. 6.5 Business changes: if we restructure, merge, sell assets, or undergo a corporate transaction, information may be transferred as part of that process, subject to confidentiality and applicable law.

7. Cross-border disclosure

  1. 7.1 Your information may be stored or processed outside Australia depending on where our service providers operate (for example, cloud hosting or support tooling).
  2. 7.2 We take reasonable steps to ensure overseas recipients handle information in a way consistent with this Privacy Policy and Australian privacy requirements, where applicable.

8. Security

  1. 8.1 We take reasonable technical and organisational measures to protect personal information from misuse, interference, loss, unauthorised access, modification or disclosure.
  2. 8.2 No system is completely secure. You should use strong passwords, enable available security features, and take care when sharing sensitive business information.

9. Data retention

  1. 9.1 We retain personal information as long as needed to provide the Platform, meet legal obligations, resolve disputes, enforce agreements, and maintain business records.
  2. 9.2 We may retain certain logs, transaction records, and security-related data for longer where necessary for compliance and risk management.
  3. 9.3 We may retain de-identified or aggregated information indefinitely.

10. Your choices and controls

  1. 10.1 You can update profile details and adjust visibility settings (where available) through your Account settings.
  2. 10.2 You can choose what to post publicly versus privately, and what to share within Rooms/Boardrooms.
  3. 10.3 You may opt out of marketing communications using the unsubscribe link or by contacting us. Service/transactional messages may still be sent where necessary.
  4. 10.4 If you delete Content, copies may remain in backups or where necessary for legal and compliance reasons for a limited period.

11. Access and correction

  1. 11.1 You may request access to personal information we hold about you and request corrections if it is inaccurate, out-of-date, incomplete, irrelevant or misleading.
  2. 11.2 We may need to verify your identity before processing requests.
  3. 11.3 In some cases, we may refuse access or correction where permitted by law (for example, where it would unreasonably impact others’ privacy, or relates to legal privilege or security).

12. Cookies and tracking

  1. 12.1 We may use cookies and similar technologies to maintain sessions, remember preferences, measure performance, and improve the Platform.
  2. 12.2 You can control cookies through your browser settings. Disabling cookies may affect some Platform features.

13. Children

  1. 13.1 The Platform is intended for business users and is not directed to children. If you are under 18, you must not use the Platform.

14. Complaints

15. Updates to this Privacy Policy
